JOB TITLE: CRM Administrator

REPORTS TO: Director of Communications and Development


Casey Trees, a nonprofit dedicated to restoring, enhancing and protecting the tree canopy of Washington, D.C., seeks a CRM Administrator to manage the Customer Relationship Management (CRM) system and related data and event platforms on a day-to-day basis to support the organization’s fundraising and programming initiatives. The ideal candidate will be process-oriented, pay close attention to details, and have analytical thinking skills.


• Manage the organization’s CRM system and the data in it which is entered by 25+ users
o Ensure data is correct across accounts, contacts, etc.
o Identify and correct errors made by a system user
o Communicate errors made by users in a friendly, helpful manner
o Report improper system usage to senior management
o Gather and analyze key data for migration
o Import and export data as required
• Oversee integration between Salesforce, Luminate Online, and the website and coordinate integration of other services with Salesforce including Outlook, Quickbooks and Google Docs
• Stay abreast of new Salesforce features and determine value to organization; coordinate adoption/implementation as appropriate
• Strategize with departments and teams about the most effective use of the data systems
• Guide new user adoption and take lead in training staff in the appropriate use of the CRM and related data platforms and other analytical tools
• Maintain control of access rights, security settings and user privileges
• Coordinate email marketing operations
• Build custom reports, forms/surveys and dashboards specific to job functions
• Generate process maps for marketing and business workflows
• Serve as point person/liaison to Convio/Blackbaud
• Provide help-desk support for all system users and resolve any CRM related technical issues with assistance from Convio/Blackbaud
• Identify opportunities for growth and understand how to make those changes happen
• Explore future options for vendors as necessary


• Bachelor’s degree
• Two to three years experience supporting a CRM platform – preferably Convio/Blackbaud - in a non-profit environment with experience managing donor records, revenue tracking, campaign status, major giving and cultivation tools
• Strong project management, data management and training and support skills
• Ability to develop strong relationships and work with individuals at all levels and abilities
• Strong computer and technical skills
• Effective time management, organization and leadership skills
• People oriented person with a customer-service approach to servicing colleagues
• Interest in fundraising and the mission of the organization
• Good written and oral communication skills
• Resourceful and willingness and desire to learn how to do something on their own; constantly thinking and learning about innovation and process
• Must be willing to grow and change as the organization changes

• Familiarity with Eventbrite, Vocus, Small Act, WealthEngine, Outlook or Basic HTML/CSS
• Training in Salesforce and/or certification
• Understanding of APIs and third-party data integration processes
• Understanding of Salesforce administration best practices; workflows and automation; and customization and application development
• Understanding of fundraising, membership, volunteer and advocacy needs


This position is full-time. Salary range of $47,000 to $50,000 commensurate with experience. Benefits are included. Desired start date is April 1, 2014.
