Service Administrator Overview

What does a Service Administrator do?

Service administrators provide administrative support and perform customer relations duties in the service department of an automotive shop or equipment repair facility. They support and work in close collaboration with the service manager. They greet and assist customers, coordinate appointments and services, and process service-related paperwork. They collect payment and complete payment processing transactions, maintain billing records and invoices, and handle light bookkeeping duties. They assist with resolving any customer concerns or issues, with the goal of maintaining high standards of customer satisfaction.

Service administrators typically have at least a high school diploma, although additional training or education is helpful. They commonly have a background in administrative support or customer service. They should have strong customer relations skills and proficiency with common office software programs such as Excel.

What responsibilities are common for Service Administrator jobs?
  • Troubleshoot issues for applications by reviewing application logs, IIS logs, event logs.
  • Diagnose and respond to customer support service call requests.
  • Attend various product meetings to discuss status of new client installations, provide timelines as they pertain to new release installations, and access client requests.
  • Develop, maintain and updates all required documentation in a timely manner.
  • Maintain 'best practices' change control procedures to ensure preauthorization and accurate record keeping for all application level changes.
  • Focus on continuous improvement through automation, re-engineering and streamlining to reduce risk/exposure and optimize upgrades/installations.
  • Install/execute and fine-tune stored procedures, SQL queries and user defined function.
  • Create and manage problem records and tasks to document root cause, corrective actions.
  • Maintain the sales appointment schedule and maintain a list of sales leads.
