Farmers Union Oil Company of Kenmare is a cooperative in Kenmare, ND with additional business locations in Powers Lake, Bowbells and Mohall.

Our business office is located in Kenmare, ND. Our office hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. Hours of operation may vary dependent upon business needs. We may extend our hours of operations during spring work to support our local farmers.

Accounts Receivable Clerk | Receptionist - Job Description

Job Title: Accounts Receivable / Receptionist, Department: Office

Reports to: CEO/GM

Job Summary:

The Accounts Receivable Clerk will assist in ensuring that the company receives payment for goods and services offered to clients. Maintains positive customer relations and represents the Company in a professional and friendly manner.

Supervisory Responsibilities:

· None.

Duties/Responsibilities:

· Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable, closes batches for each department daily.

· Answer and directs phone calls as well as assists customers and enter payments at the front desk.

· Creates invoices according to company practices; submits invoices to customers.

· Maintains and updates customer files, including name or address changes, mergers, or mailing attentions.

· Works with CEO/GM to draft correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment.

· Creates reports regarding the status of customer accounts as requested.

· Research customer discrepancies and past-due amounts with the CEO or CFO.

· Collaborates with the finance department to reconcile accounts receivable on a periodic (at least bimonthly) basis.

· Closes out all required month end book work by the 1st of the following month.

· Assists in generating monthly billing statements based on the general ledger.

· Assists financial department in reconciling revenue accounts each month.

· Update and accurately maintain spreadsheets.

· Maintain fuel assistance applications and manage invoicing and payment portions. Balance and submit to the state for payment.

· Take propane and fuel orders and dispatch them to the appropriate personnel, track and maintain propane and fuel contracts.

· Maintain customer cardtrol cards.

· Maintain all credit terms for customers and vendors as stated in the credit applications.

· Monthly ACH pull.

· Daily morning bank, post office, etc. run.

· Count tills daily. Reconcile safe and tills on a weekly basis and on the 1st of every month.

· Reconcile/balance credit cards daily.

· Process Enterprise invoices.

· Copies, files, and retrieves materials for accounts receivable as needed.

· Relays changes of information to appropriate staff.

· Maintains a positive attitude and promotes a favorable image of the cooperative.

· Maintains confidentiality of business financial information as well as personal customer information and financial information.

· Performs other related duties as assigned or requested by management.

Required Skills/Abilities:

· Excellent verbal and written communication skills, friendly and professional customer service.

· Proficient in Microsoft Office Suite; including word and excel. Become proficient in AgVantage software and other programs as required for the business.

· Ability to operate office equipment, such as computers, 10-key calculators, phones and copier.

· Ability to work independently and in a fast-paced environment.

· Ability to anticipate work needs and interact professionally with customers.

· Excellent organizational skills, cleanliness and attention to detail.

Education and Experience:

· High school diploma or equivalent required; associate or bachelor’s degree in accounting preferred.

· At least two years of related experience required.

Physical Requirements:

· Prolonged periods sitting at a desk and working on a computer.

· Must be able to lift up to 15 pounds at times.
