Job Description

Title: Human Resources Coordinator

Reporting to: Manager, Human Resources

Job Summary:

The primary role of this newly created position is to support the manager of human resources in carrying out all human resources functions in compliance with company policy, state and federal laws and regulations, as well as act as the first point of contact and customer service ambassador for the department. In addition, this position will support supervisors as needed in order to maintain an exceptional corporate culture. The ideal candidate will be professional, motivated, hold the qualifications listed below and be able to maintain a high level of discretion.

Responsibilities:

Benefits Administration
  • Process employee benefit enrollment.
  • Audit and approve benefit invoices; resolve discrepancies as needed.
  • Assist with open enrollment as assigned.
  • Answer questions, address concerns, and provide information to employees and supervisors regarding benefits.
  • Prepare various reports and audit benefits as assigned.
  • Manage administration of COBRA and unemployment claims.
  • Support coordination of employees’ leaves of absence (family medical leave, disability, workers compensation, parental leave, etc.). Maintain records in accordance with the company’s policies and applicable federal and state laws and regulations.


Human Resources Support
  • Assist with recruitment; including job postings, social media, screening and sourcing, scheduling, interviewing (backup), drafting offer letters and processing background checks.
  • Prepare new hire and termination paperwork, ensuring that all materials are current and paperwork is completed accurately and in a timely manner.
  • Assist as needed with conducting new hire orientation and termination exit interviews.
  • Assist employees and supervisors with company policy related questions.
  • Create and meticulously maintain employee files.
  • Support the continuous improvement and maintenance of all internal human resources processes, procedures, documents, and templates, including the employee handbook.
  • Create and maintain a human resources process guide.
  • Maintain human resources bulletins and ensure workplace postings are compliant with current employment laws.
  • Assist with planning and lead the implementation of company events, including setup and cleanup.
  • Assist with employee building access card management, ordering of human resources and event supplies.
  • Maintain knowledge, understanding and compliance with state and federal employment laws and regulations.
  • Complete other projects and tasks as assigned.
Payroll/Human Resources Software Administration (Paylocity)
  • Enter new hire information into payroll software accurately and in a timely manner.
  • Process employee changes affecting payroll in Paylocity and in other applicable spreadsheets.
  • Upload employee annual reviews and maintain review schedule.
  • Assist with human resources related yearend payroll processes, including, ACA reporting and time off reset.
  • Liaise with payroll provider regarding human resources issues and enhancements maintaining continuous quality improvement.
  • Keep up to date knowledge of applicable local, state and federal laws pertaining to payroll and benefits.
  • Take on additional payroll responsibilities as assigned, including, but not limited to, payroll processing.
Qualifications:
  • Bachelor degree in human resources, human resources certification or related equivalent experience, plus 3+ years’ experience in human resources is required.
  • Previous benefits administration and recruitment experience preferred. Experience with payroll a plus.
  • Ability to handle highly confidential information with appropriate discretion and sensitivity required.
  • Must be committed to providing the highest level of customer service and responsiveness.
  • Possess excellent verbal and written communication skills.
  • Must be highly organized, detail oriented, proactive and possess the ability to prioritize and work well with others in a fast paced environment.
  • Excellent computer skills including MS Word, Excel, and Outlook. Must have an aptitude to learn new software applications with the ability to generate reports and present data in a useable format.
  • Familiar with legislation concerning Federal and local State employment laws to include but not limited to ADA, FMLA, EEOC, FLSA, Title VII, Massachusetts Wage and Hour laws.

      I have been working at Odysseys Unlimited (Less than a year)

      Pros

      -Office culture is open and accepting and all employees are very nice and welcoming.
      -The CEO is personable and knows everyone by name.
      -Although everyone works hard, luckily, the atmosphere is not tense - which is hard to find in many office environments.

      Cons

      Can't think of many negative things to say.

      Advice to Management

      Keep investing in office culture events such as mindfulness workshops, breakfasts, etc. Everyone enjoys them.

      Pros

      Travel perks -- tours are great! The CEO, Bruce, is SO friendly and knows everyone's name. It's a small company and it sort of feels like a family. It's very easy to talk to your managers and supervisors. Everyone knows each other and company events are fun!

      Cons

      Honestly not too many cons -- the only thing is since it's a small company it's hard to find room for growth. Overall no complaints!

      Advice to Management

      That's tough -- I guess let the TCs have flex hours on Fridays in the Summer?? Keep doing what you're doing!
