General Duties:
Responsible for the overall supervision of all back-of-house operations – the mechanical shop, fleet maintenance, and warehouse/logistics functions. This role manages shop labor and daily shop activities, builds and runs a preventive maintenance program for the entire fleet (heavy-duty striping trucks, fleet vehicles, arrow boards and message boards), and oversees warehouse inventory, job take-offs, staging, and equipment loading to ensure accurate, on-time delivery to field crews. Priorities are fleet readiness, DOT regulatory compliance, OSHA compliance and safety.
Duties / Tasks:
Shop & Mechanical Management
- Supervise, schedule, and direct all mechanical shop labor and daily shop activities.
- Perform and oversee hands-on diesel mechanic work – diagnostics, repair, and rebuild of heavy-duty striping trucks, support trucks, and light-duty fleet vehicles.
- Prioritize and assign repair work orders to minimize equipment downtime, especially during production season.
- Maintain shop tooling, diagnostic equipment, and a safe, organized, code-compliant work environment.
- Hire, train, evaluate, and develop shop personnel; document and address performance issues.
- Source parts and manage vendor relationships for repairs, consumables, and warranty work.
Preventive Maintenance Program
- Create, build, document, and continuously improve a preventive maintenance (PM) program covering the entire fleet: heavy-duty striping trucks, pickups and fleet vehicles, arrow boards, and message boards.
- Establish PM schedules, service intervals, and inspection checklists by asset class.
- Monitor PM compliance through a fleet maintenance tracker; flag overdue services and recurring failure trends before they cause field breakdowns.
- Maintain complete maintenance histories and cost-per-unit records for each asset.
- Forecast major repair and replacement needs and provide input to the equipment/capital budget.
Fleet & DOT Compliance
- Manage the fleet in compliance with all applicable DOT / FMCSA regulations and applicable state requirements (IL, WI, IN, KY).
- Maintain vehicle registrations, IFTA/IRP filings, annual DOT inspections, and all required fleet documentation and recordkeeping.
- Maintain Driver Vehicle Inspection Report (DVIR) processes; track and resolve flagged defects and out-of-service conditions.
- Coordinate with operations and HR on items affecting fleet operation (e.g., inspection status of vehicles dispatched).
- Ensure every truck and piece of equipment meets legal, mechanical, and safety standards before dispatch.
Warehouse & Logistics
- Oversee all warehouse duties, including receiving, storage, organization, and inventory control.
- Manage inventory of traffic control devices, signs, pavement marking materials, beads, RPMs, and consumables; maintain accurate counts, reorder points, and cycle counts.
- Receive built traffic control job take-offs/orders from operations, pull and stage the required materials and devices, and verify accuracy against the job before loading.
- Coordinate and verify loading of trucks and equipment to ensure complete, accurate, and on-time delivery to field crews.
- Maintain warehouse safety, cleanliness, and organization to a defined standard; safeguard inventory against loss or shrinkage.
Activities:
- Obtain Information – Observe, receive, and otherwise obtain information from all relevant sources, including operations, field crews, shop personnel, vendors, and administrative staff.
- Deliver Information – Provide information to supervisors, co-workers, vendors, and subordinates by telephone, in written form, e-mail, or in person. Document all communications as necessary and practical.
- Establish and Maintain Interpersonal Relationships – Develop constructive and cooperative working relationships with operations, field crews, vendors, and co-workers, and maintain them over time.
- Evaluate Information to Determine Compliance with Standards – Use relevant information and judgment to determine whether vehicles, equipment, and processes comply with DOT regulations, OSHA compliance, safety standards, and Company policy.
- Make Decisions and Solve Problems – Analyze information and evaluate results to choose the best solution and resolve mechanical, scheduling, and inventory problems.
- Safety – Ensure the safe operation of the shop, warehouse, and all equipment dispatched to the field.
- Safeguard Company Assets – Ensure that all fleet, equipment, tooling, and inventory are properly maintained, tracked, and protected against loss.
Skills:
- Mechanical / Diesel Expertise – Diagnose, repair, and maintain diesel and gasoline heavy- and light-duty vehicles and specialized striping/traffic equipment.
- Management of Personnel Resources – Motivate, develop, and direct shop and warehouse staff, identifying the best people for the job.
- Management of Material Resources – Obtain and see to the appropriate use of equipment, parts, facilities, and inventory needed to perform work.
- Time Management – Manage one's own time and the time of others to keep fleet uptime high and deliveries on schedule.
- Monitoring – Monitor and assess equipment condition, PM compliance, inventory accuracy, and staff performance to make improvements or take corrective action.
- Judgment and Decision Making – Weigh the relative costs and benefits of repair-versus-replace and scheduling decisions to choose the most appropriate one.
- Coordination – Adjust shop and warehouse actions in relation to the field schedule and operations' needs.
- Critical Thinking – Use logic and reasoning to identify the strengths and weaknesses of alternative solutions to mechanical and logistics problems.
- Communication – Effectively obtain and convey information in written and verbal form, while listening to ensure full understanding.
- Service Orientation – Actively look for ways to support field crews, operations, and co-workers.
Knowledge and Experience:
- Diesel / Heavy Equipment Mechanics – Demonstrated hands-on diesel mechanic experience on heavy-duty trucks and specialized equipment; ability to perform and supervise diagnostics, repair, and rebuilds.
- Preventive Maintenance Programs – Experience designing, implementing, and managing a fleet preventive maintenance program and associated recordkeeping/tracking systems.
- DOT / FMCSA Regulations – Working knowledge of DOT and FMCSA fleet regulations, inspection requirements, IFTA/IRP, and applicable state requirements.
- Warehouse & Inventory Management – Experience managing warehouse operations, inventory control, staging, and order/loading accuracy in a field-service or construction environment.
- Safety – Knowledge of relevant equipment, OSHA regulations, and Company safety policies and procedures for shop and warehouse operations.
- Supervisory Experience – A minimum of 3 years supervising shop, fleet, or warehouse personnel is required.
- Industry Experience – A minimum of 5 years in fleet maintenance, heavy equipment, or a related field is required; pavement marking / traffic control or heavy highway exposure preferred.
- Education / Certification – High school diploma or equivalent required; diesel technology or related technical certification (ASE or equivalent) strongly preferred.
- Software Knowledge – Proficiency with fleet/maintenance management software and Microsoft Office (Excel, Word); ability to maintain digital trackers and inventory systems.
- License – Valid driver's license required; CDL preferred.
