What is an Operations Administrator?

Operations administrators perform a broad range of basic administrative and business support tasks. Much of their work involves coordinating the services and duties of various other personnel within or outside of the organization. They align schedules for meetings, deliveries and events; process invoices and approve payments; submit work orders and tech support tickets; and verify and process expense reimbursements. They also oversee inventory and order supplies, and frequently handle routine bookkeeping and data processing tasks.

Operations administrators typically have at least a high school diploma, although additional education or training is preferred. They commonly have a background in customer service or other administrative roles. They must be highly organized, detail oriented, and able to manage multiple projects at the same time. They must be proficient in the use of common office software programs such as Excel.

Responsibilities for Operations Administrator

  • Ensure quality recruiting and training of new team members.
  • Tend to damaged and incorrectly addressed packages in a timely manner to optimize delivery time.
  • Provide clerical support to various management and operational functions, including, but not limited to, photocopying, filing, faxing, emailing and answering telephone.
  • Serve as a customers first line of contact for a variety of issues.
  • Conduct line checks to ensure product standards and specifications.
  • Complete daily paperwork and projects on a timely basis.
  • Inspect and handle hazardous material damages as per policy.
  • Supervise cleaning and maintenance of equipment and arrange for repairs, contracts, and other services.
  • Provide clerical and administrative support to the human resources (HR) department.
  • Responsible for, or supporting the planning, resourcing, preparation and execution of each experiment.
  • Assist with conducting team meetings to plan menus and related activities, plans special events, shares information, or conduct supplemental training.
  • Review, research and/or enter data in various systems to support respective functional area.
  • Responsible for records management tasks such as maintenance, destruction and inventory.
  • Ensure compliance with all local, state, and federal laws, regulations, and guidelines.
  • Drive positive results for labor through proactive scheduling and reacting to business trends.
  • Review office supply inventory and place orders to meet the needs of the office/district. .
  • Maintain the proper atmosphere through music and lighting levels for varying business periods.
  • Establish a positive relationship with the local authorities and seek their help in manage regulatory and governance related issues.

Qualifications for Operations Administrator

  • Bachelor's or Graduate's Degree in business, business administration, computer science or engineering, or equivalent experience.
  • Time management, organizational and multitasking skills necessary to work in a fast-paced environment, handling various tasks and changing priorities, while maintain, a high attention to detail and accuracy to achieve daily assignments and goals
