What is a HR Assistant?

Human resources (HR) assistants are certified professionals who handle daily administrative and human resources duties at an organization. They help human resources managers with recruitment, payroll employee processing, and employee record maintenance. They are responsible for providing clerical support to all employees.

HR assistants support internal and external requests related to the department; they will maintain digital and electronic records for employees and serve as the point person with benefits, vendors, and administrators. During the recruitment process, they assist by identifying qualified candidates and performing reference checks, and by issuing employment contracts. They oversee the completion of a company‘s compensation and benefits documentation and papers and assist with performance management procedures. They are responsible for coordinating training sessions and seminars, and they perform orientation and update records of new staff. HR assistants need a minimum bachelor's degree in human resources or related fields into years of experience as an HR assistant. They also need to be fluent in labor laws and employment equity regulations.

Responsibilities for HR Assistant

  • Own and lead full cycle rollouts for new HR compliance initiatives.
  • Facilitate HR trainings.
  • Partner with the HR business partners to appropriately address concerns, helping to ensure we drive to the right resolution.
  • Under direct supervision, perform a variety of general administrative and office operations support activities.
  • Prepare slides in support of meetings.
  • Complete work requests as determined by the department head.
  • Coordinate with managers to ensure associates are on the correct schedule patterns.
  • Produce and analyze reports to identify talent trends including being able to find ways to measure effectiveness of initiatives and programs developed by the team.
  • Complete and bridge metric gaps on daily and weekly reports regarding attendance, attrition, engagement, labor fill, etc.
  • Facilitate the internal recruitment process by coordinating internal job requisitions, scheduling interviews and administering the associate internal transfer portal.
  • Interpret employee engagement data and recommend action items to deliver results.
  • Oversee the time reporting and approval process.
  • May arrange meetings and conferences, maintain calendars, and make travel reservations.
  • Archive terminated files, financial records and not hired job applications.
  • Answer/route phone calls, greet visitors, assist individuals with directions, and guide people through the building.
  • Responsible for logging contracts in and out of database.
  • Copy and distribute letters to employees, payroll and department heads.

Qualifications for HR Assistant

  • Associate's or Bachelor's Degree in human resources or equivalent experience.
  • Demonstrated leadership and time management skills.
  • Is a professional and problem solver while interacting with employees, including during onboarding and termination processes.
  • Comfortable processing notices and able to pay strict attention to detail.
