We work with homeowners, real estate professionals, attorneys, developers, and contractors, providing a wide range of surveying services. Our team is growing, and we are looking for a highly organized and responsive Client Service Coordinator to help manage incoming requests and keep projects moving efficiently.
Position Overview
We are seeking a detail-oriented and proactive Client Service Coordinator to handle a high volume of incoming calls, send out pre-formatted quotes, follow up with clients, and assist in keeping active projects on track.
This role is critical to our operations and directly impacts client satisfaction and company revenue.
Key Responsibilities
- Answer and manage high-volume inbound phone calls
- Communicate professionally with clients, title companies, realtors, and contractors
- Collect basic project information (property address, deeds, plats, etc.)
- Send out pre-priced, template-based quotes quickly and accurately
- Track and manage incoming requests and proposals
- Follow up on:
- Pending approvals
- Unpaid invoices
- Provide status updates to clients on active jobs
- Coordinate property access and scheduling as needed
- Maintain organized records of all communications and job progress
- Assist in keeping email inbox and job flow organized
Requirements
- Must speak BOTH English and Spanish fluently
- Must be punctual and reliable, with consistent on-time attendance
- This role requires daily dependability and minimal unplanned absences
- Prior experience in a fast-paced administrative, customer service, or coordination role
- Strong phone communication skills (clear, confident, professional)
- Ability to multitask and manage multiple clients/jobs simultaneously
- Highly organized and detail-oriented
- Comfortable working with email templates and structured workflows
- Reliable, responsive, and able to follow systems and processes
Preferred (Not Required)
- Experience in land surveying, civil engineering, construction, title, or real estate industries
- Familiarity with survey types (Boundary, Topographic, ALTA, Elevation Certificates)
- Experience handling client follow-ups and job coordination
